The Mainsaver Scheduling Tool 2.0

As most users of Mainsaver know, the process of re-scheduling a work order in Mainsaver can be frustrating and time consuming. In my 25 years of experience of Mainsaver consulting, this has always been my clients’ number one gripe with the software. Written using Microsoft Access, the Mainsaver Scheduling Tool 2.0 connects directly to Mainsaver database and allows you to view and modify the current Mainsaver schedule in real time, with a more intuitive graphical interface.

The default view will show you a calendar of the current month (for all employees).  The calendar is designed to never show the same work order twice on any given day, even through the work order may be on multiple employee schedules. On each day you will see a list of work orders showing the Work Order Number, Asset Number, and Work Requested fields.

A single click on a Work Order will show the Work Order Number, Asset Number, and Work Requested fields at the top of the screen.

If you double-click on a work order, it will launch a screen showing you all the scheduling for that work order.  On this screen you ADD, DELETE, or MODIFY and scheduling entry.

At the top of the screen, you will find various filtering tools which include an employee pull-down so that you can see the calendar for any one individual.

There are also tools to allow changing the view from 1 month to either:

  • One week
  • Two weeks
  • One day

The are also resizing tools to allow you to see more or less of each day’s workload.

NOTE: Development is underway to merge The Scheduling Tool 2.0 with my previous scheduling tool offering to make an all-inclusive and powerful one stop shop for all your Mainsaver scheduling needs. Links will be created in The Scheduling Tool 2.0 to launch this more in-depth scheduling application. The initial screen will show you all of the work orders and employees in the current Mainsaver schedule.  On the left side you will see those employees who have current work orders scheduled for them.  Next to their names you will also see how many work orders are scheduled for them and how many total hours.  If you click on an employee, you will see their schedule on the right hand side of the screen.  The application is divided into two parts: A Rescheduling tool and a Full Scheduler.

WOKING WITH CURRENT SCHEDULES USING THE RESCHEDULING TOOL

You can modify an existing employee schedule by:

  • By changing (editing) any one of the following:
    • Employee
    • Schedule Date
    • Schedule Time
    • Hours
  • Copying the work order to another employee’s schedule
  • Deleting a work order from an employee’s  schedule

If you change an employee on a work order (assign a work order to a different person), it will disappear from the current employee immediately after the change.

Clicking on the Schedule Date will cause a calendar icon to appear (which you can use to pick the appropriate date).



To add the same work order to an additional employee (without taking it away from the current employee), double click on the record selector to the left of the work order number.  This will cause the work order to duplicate on the screen.  Once that happens, edit the duplicated copy and assign that one to a different employee.



To delete a work order from an employee’s schedule, simply click on the work order’s record selector and click on the DELETE key on your keyboard.

To print an employee’s schedule, double-click on the employee on the left hand side of the screen.

This will launch the print preview screen from which you may print the employee’s schedule.
